Getting Started with Questionnaires

Get an overview of the Questionnaires feature, including what it is, how it works, and where to find everything you need to manage questionnaires and client responses.


📝 Questionnaires

Collect important information from your clients with customizable questionnaires. You can create questionnaires from scratch or use ready-made templates, send them directly to clients or share them with a link, and track responses all in one place.

❓ What are Questionnaires?

Questionnaires help you gather information from clients before, during, or after working together. They're useful for collecting details such as onboarding information, design preferences, project requirements, and more.

The Questionnaires module lets you:

  • Create reusable questionnaire templates

  • Send questionnaires directly to clients

  • Share questionnaires using a public link

  • Track response status

  • Send reminders to clients with pending questionnaires

  • View completed responses and submission history

📂 Where to find Questionnaires

Navigate to Questionnaires from your Maroo dashboard.

From this page, you can:

  • View questionnaires that have been sent

  • Monitor response statuses

  • Review completed responses

For each questionnaire you've sent, you'll see:

  • Client nameThe name of the client who received the questionnaire.

  • Client email addressThe email address where the questionnaire was sent.

  • Questionnaire nameThe title of the questionnaire you shared.

  • Date sharedThe exact date the questionnaire was sent to the client.

  • Current statusShows whether the questionnaire is Pending (not yet completed) or Completed (responses submitted).

🔎 Questionnaire Statuses

Questionnaires can have one of the following statuses:

Pending

The questionnaire has been sent but has not yet been completed by the client. This status indicates that the client still needs to submit their responses. While a questionnaire is pending, you can monitor its progress and send a reminder to encourage the client to complete it.

For pending questionnaires, you can:

  • Send a reminder to the clientSends a follow‑up email prompting the client to complete and submit the questionnaire.

Once the client submits their answers, the status will automatically update to Completed.

Completed

The client has submitted their responses. This status means the questionnaire is fully finished, and you can now review every answer, check the activity history, and use the information for your project or workflow.

Once completed, you can:

  • View every question and answer

  • Click on the completed questionnaire and you can see activity history, including when the questionnaire was shared and completed

Completed questionnaires no longer display a reminder action.

🎛️ Filtering Questionnaires

You can quickly find questionnaires by using the available filters.

You can filter by:

Questionnaire name

  • AllShows every questionnaire you’ve sent, regardless of title.

  • Specific questionnaire namesLets you narrow the list to a single questionnaire so you can quickly view its recipients and statuses.

Status

  • PendingThe client has received the questionnaire but has not submitted their responses yet.

  • CompletedThe client has finished and submitted all questionnaire responses.

  • AnyShows both Pending and Completed questionnaires together, without filtering by status.

Date sent

  • Last 7 daysShows questionnaires that were shared within the past week.

  • Last 15 daysExpands the view to all questionnaires sent in the last fifteen days.

  • Last month Displays questionnaires sent anytime during the previous calendar month.

Custom

  • Opens a date‑picker where they can select a specific start and end date

  • Shows the chosen date range at the top (e.g., Jul 17, 2026 – Jul 17, 2026)

  • Allows users to navigate the calendar and confirm their selection with Continue

They ensure you collect consistent information every time, improve clarity for both you and your clients, and keep all responses organized in one place for easy tracking and review.
