How To Create Itemized Invoices

In this guide, we’ll walk you through how to create and customize itemized invoices using Maroo.


Create detailed invoices with individual line items, customized payment schedules, flexible payment options, and more.

Itemized invoices allow you to provide your clients with a clear breakdown of the products or services included in an invoice. You can add multiple line items, apply taxes and discounts, create installment payment schedules, customize accepted payment methods, and choose how processing fees are handled.

There are two types of invoices you can create on Maroo: Quick and Itemized.

Quick invoices are ideal for simple payment requests, while itemized invoices allow you to add detailed line items. (Click here to learn more about Quick Invoices)

Here's a step-by-step video on how to create Itemized Invoices

🧾 Create an Itemized Invoice

To create an itemized invoice:

  • Go to the Invoices tab and click Create Invoice

  • Select Itemized Invoice


⚠️ Important: Itemized invoices are available on Business and Pro plans. Upgrading to one of these plans gives you access to more detailed invoicing features, allowing you to break down charges and provide greater transparency to your clients.

👤 Add Client Information

After selecting Itemized Invoice, enter your client's information.

You can also:

  • Add another recipient by entering their email address in the CC field.

  • Select the event date.

  • Add notes for your client.

  • Upload attachments, such as contracts or other supporting documents.

Once you've added the required information, click Next to continue.

📋 Add Invoice Linee Itms

The line item section allows you to provide a detailed breakdown of what your client is paying for. (Note: This step is optional and can be skipped.)

You can add items such as:

  • Services

  • Products

  • Packages

  • Additional charges

For each line item, enter:

  • The item name or description.

  • The amount.

Example:

  1. Reception | $1,500

  2. Live Band | $2,000

  3. Photography | $1,200

You can add as many line items as needed to accurately represent your invoice.

🧮 Apply Taxes

You can choose whether each line item is taxable.

When taxes are enabled:

  • The calculated tax amount will be displayed automatically.

  • You can adjust the tax percentage if needed.

  • Click Apply to save the changes.

💾 Save as a Template

If you frequently create similar invoices, you can save your itemized invoice as a template.

Saved templates allow you to quickly reuse the same invoice structure for future clients without starting from scratch.

📅 Customize Payment Schedule

Itemized invoices allow you to create flexible payment schedules for your clients.

To add installments:

  • Click Add Payment.

  • Add as many payments as needed, up to 24 installments.

  • Set the due date for each payment.

You can update the date of each payment at any time by clicking on the date.

💳 Choose Payment Methods

Next, select which payment methods you want to accept.

You can customize your invoice payment options by enabling or disabling:

  • ACH Payments

    Enable ACH if you want clients to pay directly from their bank account.

  • Credit and Debit Cards

    Enable card payments if you want clients to pay using a credit or debit card. You can turn off card payments if you prefer ACH payments only, or disable ACH if you only want to accept card payments.

  • Check Payments

    You can also allow clients to pay by check. If enabled, make sure to provide mailing instructions so clients know where to send their payment.

  • Wire Transfer

    You can now also accept wire transfers as a payment method. If enabled, make sure to provide your wire transfer details so clients can complete the payment.

🔁 Enable Auto-Pay

You can choose whether to require clients to use auto-pay.

When enabled, clients can authorize automatic payments based on your payment schedule.

You can turn this option on or off depending on your workflow.

🧾 Manage Payment Processing Fees

You can decide how payment processing fees are handled.

You have three options:

  • Business

    Select this option if you want to cover the processing fees yourself.

  • Client

    Select this option if you want your client to cover the processing fees.

  • Custom

    Choose Custom if you want to split the fees between you and your client. You can adjust the percentage each party will cover.

🔍 Review and Create the Invoice

Before creating the invoice:

  • Review all invoice details.

  • Confirm the line items, payment schedule, payment methods, and fee settings.

  • Click Create Invoice.

Your invoice will be created but will not automatically be sent to your client.

📤 Send or Share Your Invoice

After creating your invoice, you can send it to your client in two ways:

  • Send Invoice

    Click Send Invoice to email the invoice directly to your client.

  • Copy Invoice Link

    You can also copy the invoice link and share it manually through email, SMS, social media, and other communication platforms.
