With Maroo Contracts you can do two things: electronically sign (eSign) and manually upload contracts signed offline. This way you can bring all your historical and future contracts on Maroo and keep things tidy.
Navigation
🤩 To maximize the value from this feature, please check out Maroo plans page. If you are planning to send over 10 contracts per month, we would highly recommend you to upgrade to Maroo Business plan as it will save you money.
You can find contracts tab inside your Maroo account on your left panel: click here
Once you opened the contracts dashboard, you will see a list of previously e-signed or uploaded contracts.
How to create a contract?
Click Create contract at the top right corner
Fill in the initial information about the contract, expiration date (optional), client type (Business or Individual) and the first signer full name and email. If you need to add someone else to sign the contract, click +Add signer below
What to do if I work with the planner and they do not provide me with the client's email?
The solution is quite simple in fact. You just need to add your clients' full names and add the planner's email as Signer's email value. Here is an example:
Most common scenario
If you have client's email but the planner still wants to see and approve the contract first, there is a neat feature on Maroo that allows you to do so. Just turn on the toggle if you'd like to copy the planner.
ℹ️ Please note that by adding the planner on copy, they will be the first one who will need to review and approve the contract before the signers even receive any notifications and prompts to sign the contract.
How can I sign the contract myself?
There is a feature for that as well. Another toggle allows you to redirect the contract signature workflow also accounting whether you'd like to sign the contract before or after the client.
Event information
All contracts on Maroo are tied to events. On the next screen you will be prompted to add some information about the event which you will then find in your Projects folder.
Upload or eSign contract
On the next screen you will be prompted to choose how you'd like to proceed in terms of the contract signature.
Upload contract
Use this option if you prefer to upload on Maroo the contract that was signed offline or using a different eSign software. This way you can keep tidy and organized.
🧡 Please reach out to our support team, if you'd like to migrate over 3 contracts from your previous CRM system. We can help automate this process to save you some time.
On the next screen you will prompted to choose file from your computer directory and then proceed with saving the file. In case of manual contract upload, your clients are not notified about any actions around these contracts. Think of this as your personal storage inside Maroo account.
Electronic signature
Easily and securely sign your contract on Maroo, ensuring the same legal protection and peace of mind as top market solutions.
Once you choose this option, after a few seconds you will see the following screen.
If you are using the contract feature for the first time, you will not have previously saved templates. Choose the most convenient for you option.
Upload from DOCX file
Click "Upload your DOCX file" and click blue button below "Upload file".
Choose the .docx file on your computer. On the next screen you will see the parsed version of your contract.
🤩 To simplify your contract edit process, all information that you will see on the screen is editable, meaning you don't need to (re)upload file again and again. If you realized you made an error or missed something (even after sending it to your clients), you can always go back and edit the contract text.
Placeholders
On the right hand side you will see the list of placeholders that you can paste in your contract copy. All of them will have the information you already entered while creating the contract.
To paste the placeholder, just put your mouse cursor wherever you need the information to be populated and then click a small arrow button to paste the placeholder. See a quick video below.
Formatting
Given that information in front of you is an editable copy, you can easily format it to help your contracts stand out and position your brand in the best way. Just double click on any text or empty space inside the contract to pull up the formatting panel.
I need my clients to add information vs doing this myself
You can easily do that in the placeholder control area. Choose the placeholder you'd like to assign to be filled in by your clients and click the gear on the right hand side. Let's take a scenario that the planner is acting on behalf of the client and wants to add the client name themselves upon receiving the contract first.
Once you click the arrow to paste the placeholder you will get this view:
It means that when the clients (in the case above - the planner) will receive the contract, they will need to fill in this placeholder themselves.
Send for signature
Once you pasted all placeholders and ready to send click "Continue. On the next screen feel free to update the email subject and body and tailor it to your needs and brand tone of voice.
Once this is done, click "Send for signature". You will see the following screen below containing:
Contract link - only in case when you are sending the contract directly to the couple and excluding the planner from the process. This was made to ensure no confusion around contract links and expected actions from each of the signers.
Save contract as a template - please find more information about templates below
Create another contract - return to step 1 of the process described above
Templates
As shared above, the system will offer you to save the contract so you can reuse it the next time you will need to esign the document. Just add a unique contract name to be able to identify the contract in the future and click Save.
Next time you will arrive to the screen below, you will see the contract template sitting there.
Notifications
Once you sent the contract for signature, you will receive a confirmation email.
ℹ️ Please note that if you indicated on the first screen that you'd like to copy the planner, the end client (signers) will not receive notification immediately after you sent the contracts. It will be the planner, who will be asked to review and approve the contract first.
